Hours of Work: 30 hours per week (some out of hours working will be necessary)

Salary Scale: £31,217 – £32,233 per annum, pro rata for part time (35hrs FTE)

Purpose of the post:

Nottinghamshire Women’s Aid Ltd (NWAL) operate refuge provision in the north of the county that consist of eight 2-bedroom self-contained flats, a six bedroom communal refuge and 3 satellite properties. It is the responsibility of the refuge services coordinator to oversee the running of the refuges and any satellite properties. You will be expected to work closely with two team leaders to ensure the smooth running of the day-to-day project, ensure the projects are adhering to any legal or contractual requirements and are working in line with the statement aims and principles of Women’s Aid Federation England (WAFE), which is attached and forms part of your contract. It is expected that women, children’s and young people accessing the refuge provision receive appropriate individual support packages whilst residing in refuge accommodation.

Key Tasks:

1. To work with team leaders and project staff to ensure that all referrals to the project are recorded and processed effectively.

2. To ensure that all information is recorded appropriately and accurately on to On track our case management system and random quality audits are carried by yourself and team leaders

3. To ensure that the Refuge is maintained and repaired to agreed standards and kept to a high level of security as required

4. To ensure effective partnerships are in place with PA housing, NCHA, Health, Local authority, Police etc

5. To work with the Board of Trustees and Head of Services to ensure the effective management and direction of NWAL

6. To ensure all duties consistent with good housing management services are carried out

7. Ensure that all complaints are managed effectively according to the customer care and complaints procedure.

8. To have line management responsibility for the team leaders who directly manage the project staff and other staff as appropriate.

9. Ensure excellent safeguarding is in place for vulnerable women and children adhering to NWAL safeguarding procedures at all times

10. Ensure that the service is empowering to women, children and young people and that they have a voice in the way they receive their support.

11. To be available to support workers if necessary in group/individual/resident mediation.

12. To develop training and development opportunities for all refuge staff

13. Promote tenant participation including house meetings, service user consultation etc.

14. To comply with structures and procedures and to facilitate the collection and dissemination of information and store in line with NWAL policies and procedures and data protection regulations

Duties:

1. Staff Management

a) To provide effective leadership, line management, support, supervision and appraisals for the team leaders within the refuge setting

b) To problem solve and overcome service issues

c) To manage any conflict or staff issues if necessary using policies and procedures

d) Ensure that staff team understand their roles and responsibilities

e) To ensure that the team leaders provide support, supervision and appraisals to staff, volunteers and students.

f) To ensure that staff development and training needs are identified and addressed within training budget constraints.

g) To assist in the organisation of an annually agreed training programme for the staff team.

h) To work with Business Development Coordinator and team leaders to ensure that effective staff induction systems are implemented and monitored as appropriate.

i) To assist in coordinating and attending senior management meetings.

j) To work with the team leaders to coordinate staff cover, annual leave, on-call where necessary and to ensure the smooth running of services

k) Ensure all staff understand, implement and are involved in development of all Nottinghamshire Women’s Aid Ltd policies and procedures.

l) To attend team meetings as required

m) To be responsible for recruitment within your team of workers.

n) Ensure that there are regular management and staff meetings and that these meetings are effectively facilitated and recorded.

o) To have an excellent understanding of Nottinghamshire Women’s Aid Ltd safeguarding policies and procedures

p) To ensure that effective staff induction systems are implemented and monitored as appropriate by digital media or within the Farr Centre or any other office space across the organisation.

2. Finance

a) To have responsibility for the financial management of the Refuge project.

b) To work with the Business Development Coordinator (BDC) and Head of Services to develop and implement a fundraising strategy,

c) To ensure financial procedures are adhered to and monitoring outcomes and any other relevant grant conditions are adhered to at all times.

d) Monitor budgets and take early action where variations are identified to ensure targets are achieved.

e) Ensure that all financial information required is produced on time and is accurate.

f) Contribute annually in negotiations of housing benefit levels with Housing Benefit departments.

g) Ensure all financial agreements are adhered to.

3. Training

a) To work with the senior management team to develop training resources and the development and delivery of training courses as appropriate.

b) To deliver training to internal or external professionals.

4. Development

a) To participate in the development and implementation of a business plan for NWAL.

b) To be aware of and disseminate information re: changes in legislation that impact upon women and children affected by domestic violence and NWAL services.

c) To participate in the development and regular review of policies and procedures.

d) To participate in the development and implementation of user consultation strategies, monitoring and evaluation systems as per agreed Quality Standards.

e) To ensure that NWAL projects work to agreed values and principles that ensures high quality services for women and children affected by domestic violence.

f) To ensure the Refuge Services undergo annual reviews and complete impact assessment.

g) To work with the management team and all project workers to deliver AGMs, seminars and conferences.

h) To work with the Head of Services to develop resources and information, including messages for campaigns and service promotion

5. Public Relations

a) Maintain the network of communication between appropriate statutory and voluntary agencies ensuring an excellent flow of relevant information

b) To ensure that the public profile of NWAL is raised in conjunction with the Head of Services, our communications strategy and all staff and volunteers.

c) To participate in the development of publicity materials and information about the work of NWAL in conjunction with Head of Services, IT & Finance worker, BDC and all other staff

d) To respond to media enquiries in liaison with the Head of Services.

e) To maintain excellent partnership working in conjunction with the Head of Services and services to ensure appropriate representation of NWAL on strategic and practitioner led forums

f) To ensure representation of NWAL on relevant forums and committees

6. Board of Trustees

a) To support the Board of Trustees in ensuring that NWAL adheres to its memorandum and articles of association.

b) To provide quarterly reports to the Head of Services with written or verbal reports as an when requested

c) To attend the Board of Trustees meetings, team meetings and other committees which form part of the structure of the organisation.

d) To work with the Head of Services, BDC and Finance team to prepare plans with costs for submission to the Board of Trustees for the maintenance or expansion of the existing service and for new developments and projects undertaken at NWAL.

e) To contribute to the production of the Annual Report for NWAL.

f) To ensure that the Head of Services and team leaders are given up to date information of decisions and developments relating to the work of NWAL.

g) To ensure the Survivor Involvement policy is implemented

7. General

a) To ensure that NWAL projects, premises and working conditions adhere to all relevant legislation as may, from time to time, be in force, such as Health and Safety regulations and requirements.

b) To act as designated Health and Safety Officer in pursuance of the Health and Safety At Work Act (1974) and ensure that all staff are aware of their responsibilities under this act.

c) To ensure the efficient use of resources at all times.

d) To maintain confidentiality in all matters relating to the organisation.

e) To work within the ethos values and principles of NWAL.

f) To understand and implement NWAL’s policy on Equality, Inclusion & Diversity. To ensure this is effectively communicated both internally and externally to agencies and individuals.

g) Ensure and maintain safe working conditions within the refuge settings including testing of fire alarms, emergency lighting and evacuation.

h) Ensure that visitors, tenants, staff are informed and confident to take appropriate action in emergencies in conjunction with staff and volunteers.

i) Ensure that staff adheres to safe working practices and observe the Health and Safety policy and procedures.

j) Liaise with the local fire officer, crime prevention and environmental health officer on appropriate prevention and recommendations and requirements.

k) To promote good relationships with the local community

l) To deliver training and awareness sessions internally and externally as required

m) To carry the managers on call pager and take a lead in the development of the Rota

n) Any other duties as requested by the Head of Services and commensurate to the post.
